Organiser terms and conditions
These terms govern the use of Tixi Ticket by organisers and organisations that create events, sell tickets, manage buyers and attendees, process refunds, and receive payouts through the platform.
Parties, scope, and acceptance
These organiser terms and conditions form a binding agreement between Tixi Ticket BV, trading as Tixi Ticket, and the person or organisation that creates, manages, publishes, promotes, sells tickets for, or receives payouts for an event through the platform.
By creating an organisation, accessing the dashboard, inviting members, creating or publishing an event, configuring tickets, selling tickets, managing orders, processing refunds, or receiving payouts through Tixi Ticket, you accept these terms.
If you use Tixi Ticket on behalf of a company, association, venue, promoter, client, club, foundation, or other legal entity, you represent and warrant that you have authority to bind that entity. In that case, 'you' and 'organiser' refer to both you and that entity.
Organisation admins are responsible for the acts and omissions of all members, staff, contractors, agents, invitees, and other users who access the organisation or event through their account, permissions, invitation, or credentials.
Definitions
'Platform' means the Tixi Ticket website, dashboard, event pages, checkout, reservation tools, payment tools, ticket records, attendee tools, analytics, notifications, refund tooling, payout settings, and related services.
'Event' means any event, venue experience, admission-controlled activity, ticketed service, performance, gathering, or other offering listed, sold, managed, or promoted through Tixi Ticket.
'Buyer' means a person who purchases or reserves a ticket through Tixi Ticket. 'Attendee' means a person who uses or is intended to use a ticket. 'Ticket' means any ticket, ticket code, seat selection, table selection, VIP area selection, order right, admission credential, or related platform record.
Tixi Ticket's role
Tixi Ticket provides a software platform for event publication, checkout, reservation holds, payment processing, ticket issuing, order management, attendee management, analytics, notifications, refund tooling, and payout administration.
You are the organiser of your events. You remain solely responsible for the event content, event operations, buyer and attendee communications, venue arrangements, licences, permits, tax treatment, admissions, safety, refunds, and fulfilment of all tickets sold for your events.
Tixi Ticket may collect ticket proceeds through its payment infrastructure and remit net amounts to you, but Tixi Ticket is not your co-organiser, employer, partner, event agent, venue, insurer, security provider, performer, promoter, or subcontractor for event operations.
No statement on the platform, in support communications, or in dashboard tools transfers event-operational responsibility to Tixi Ticket unless expressly agreed in a signed written agreement with Tixi Ticket.
Account authority and access control
You must provide accurate and current account, organisation, event, regional, currency, contact, notification, tax, and payout information. You must promptly update information that becomes inaccurate, incomplete, misleading, or unauthorised.
You must protect account credentials, configure organisation roles responsibly, monitor access, remove users who no longer require access, and notify Tixi Ticket promptly of suspected unauthorised access or misuse.
Certain actions may be restricted to organisation admins, including payout changes, member invitations, publishing actions, refund actions, and other sensitive operations. You are responsible for ensuring that only properly authorised users hold admin permissions.
Because membership and active-organisation state may be synchronised between providers and the platform, you must not rely on delayed technical revocation as a substitute for promptly removing users from the relevant identity or organisation-management provider.
Event content and publication duties
You are responsible for every event title, description, date, time, location, image, ticket name, ticket description, price, fee setting, discount, coupon, capacity, seat map, accessibility statement, refund statement, entry requirement, age restriction, and public representation you publish or approve through Tixi Ticket.
Event pages and checkout information must be accurate, lawful, complete, non-misleading, and kept current. You must clearly disclose material restrictions, including age limits, entry rules, ID requirements, seating rules, accessibility limitations, cancellation terms, refund terms, prohibited items, safety rules, and time-sensitive entry requirements.
You represent and warrant that you have all rights, permissions, licences, venue approvals, performer approvals, intellectual property rights, regulatory authorisations, insurance, and operational capacity required to advertise, sell tickets for, and operate each event.
You must not publish content or events that are unlawful, fraudulent, deceptive, unsafe, infringing, defamatory, discriminatory, hateful, sexually exploitative, abusive, misleading, or otherwise likely to harm buyers, attendees, providers, Tixi Ticket, or the public.
Prohibited events and prohibited activity
You must not use Tixi Ticket for fake events, sham fundraising, money laundering, sanctions evasion, terrorist financing, illegal gambling, unauthorised raffles, unlawful alcohol or controlled-substance activity, weapons sales, counterfeit goods, human exploitation, hate or harassment, unlawful adult content, events that present unreasonable safety risk, or activities that violate applicable law or third-party rights.
You must not manipulate the platform, bypass checkout, evade fees, route buyers away from Tixi Ticket for tickets listed on Tixi Ticket, scrape or misuse data, interfere with payment or inventory systems, create artificial sales, misrepresent affiliation, conceal material event information, or abuse refunds, disputes, payouts, or reservations.
Tixi Ticket may reject, moderate, remove, restrict, suspend, unpublish, refund, cancel, disable checkout, withhold payouts, impose reserves, or terminate access for any event or organiser where Tixi Ticket reasonably believes there is legal, safety, fraud, payment, sanctions, reputational, provider, or operational risk.
Tixi Ticket may review notices of allegedly unlawful content, unsafe events, fraudulent listings, intellectual property infringement, or other abuse, and may take action without prior notice where reasonably necessary to protect users, providers, the platform, or legal compliance.
Tickets, inventory, and seat maps
You are responsible for configuring ticket types, ticket names, descriptions, badges, perks, prices, inventory, sales windows, per-order limits, coupons, seat maps, tables, VIP areas, and any related capacity information correctly before publishing.
Tixi Ticket may use third-party seat-map and inventory providers to display charts, hold objects, book objects, release objects, and manage map-based availability. You must configure maps, categories, object labels, sections, tables, and VIP areas accurately and consistently with the physical venue and event operations.
You must not oversell inventory, manually reuse ticket codes, duplicate seats, bypass holds, sell the same admission right outside the platform without reserving capacity, or otherwise create a conflict between platform records and actual admission capacity.
If your configuration, venue change, capacity decision, external sales, staff action, or organiser-controlled error causes overselling, duplicate tickets, unavailable seats, wrong admission rights, or buyer confusion, you are responsible for resolving the issue and reimbursing Tixi Ticket for resulting losses, refunds, chargebacks, and support costs, except to the extent caused solely by Tixi Ticket's breach.
Pricing, fees, taxes, and records
You choose ticket prices, discounts, coupon restrictions, and ticket availability within platform limits and applicable law. You must not present misleading prices, false discounts, unavailable benefits, deceptive scarcity, or inaccurate tax information.
Platform fees, service fees, payment processing costs, refunds, discounts, chargebacks, dispute fees, reserves, negative balances, taxes, withholding, provider fees, and other amounts owed may be deducted from ticket proceeds or otherwise recovered from you.
You are solely responsible for determining, charging, collecting, reporting, invoicing, withholding, and remitting all taxes, levies, duties, royalties, venue fees, artist fees, copyright fees, neighbouring rights, and other amounts connected with your events, unless Tixi Ticket expressly assumes a specific obligation in writing or is required by law to do so.
Dashboard analytics, order summaries, and payout views are operational tools and may not constitute complete accounting, tax, invoice, or legal records. You must maintain your own business, accounting, tax, and compliance records.
Payments and payment processing
Ticket payments and payouts are processed through Tixi Ticket's payment infrastructure and one or more payment service providers (PSPs). You authorise Tixi Ticket and its PSPs to receive, process, hold, settle, refund, dispute, reserve, deduct, offset, and pay out ticket proceeds in accordance with these terms and provider rules.
You authorise Tixi Ticket to create, configure, update, and administer payment-provider accounts or connected accounts for payout purposes, and to submit organiser, representative, business, tax, VAT, bank, risk, and compliance information to those providers as needed to provide payments, refunds, disputes, compliance checks, and payouts.
You must not ask buyers to bypass Tixi Ticket checkout for tickets listed on Tixi Ticket, surcharge buyers outside the displayed checkout price, or require off-platform payment as a condition of honouring tickets sold through Tixi Ticket.
Payment processing may be subject to card network rules, payment provider terms, anti-fraud controls, strong customer authentication, sanctions screening, anti-money laundering review, risk review, rolling reserves, delayed settlement, chargeback windows, refund windows, and other provider requirements.
Tixi Ticket may refuse or reverse transactions, suspend checkout, hold funds, require additional information, or cancel orders where Tixi Ticket or a provider reasonably identifies fraud, abuse, legal risk, payment risk, sanctions risk, identity risk, event risk, or breach of these terms.
Payouts, reserves, and negative balances
To receive paid ticket revenue, you must complete any PSP KYC/KYB checks and provide valid, authorised, and supported payout details and any identity, business, business entity type, tax or VAT number, representative, beneficial owner, bank, risk, or compliance information requested by Tixi Ticket or its PSPs. You represent that any bank account you provide is lawfully controlled by you or by the organisation you represent.
You represent and warrant that the person submitted as the account representative is legally authorised to manage payout setup, provide verification information, accept payment-provider account terms, and act for the organiser for payout purposes.
When you submit payout setup, you confirm that all payout, representative, business, bank, and review information you provide is accurate, complete, current, authorised, and not misleading, and you are responsible for losses, delays, rejected payouts, reserves, fees, recovery costs, or provider action caused by inaccurate or unauthorised information.
Event ticket revenue becomes internally available for payout exactly when the relevant event's scheduled end time has passed, unless the event is cancelled, under review, on hold, already paid out, or otherwise blocked under these terms.
Payout eligibility is calculated event by event. A future, pending, cancelled, held, disputed, or blocked event does not by itself block payout of a different eligible ended event, but only the eligible event's own net revenue may be selected or paid.
If an event is cancelled, its ticket revenue is blocked from payout until refunds, chargebacks, buyer remedies, and related event obligations are resolved to Tixi Ticket's satisfaction.
Amounts payable to you are calculated from collected ticket proceeds for the relevant event minus applicable platform fees, service fees, payment costs, taxes required to be withheld, refunds, chargebacks, dispute costs, negative balances, recovery costs, and any other amounts owed to Tixi Ticket or its providers.
Tixi Ticket does not apply a default automatic reserve to every event payout. However, Tixi Ticket may place or keep an event or organiser payout on hold, delay it, block it, reserve it, offset it, or cancel it where required for fraud prevention, compliance review, refund exposure, cancellation risk, dispute handling, provider review, suspicious activity, sanctions checks, event risk, technical issues, legal obligations, or these terms.
Manual payouts let organisation admins choose specific eligible ended events to pay out. A manual payout request pays the selected eligible event revenue; partial payout of a selected event is not guaranteed unless Tixi Ticket supports that feature in the dashboard.
Scheduled payouts automatically pay eligible ended events according to the organisation's internal daily or weekly payout schedule. Scheduled payout timing is an operational target and may be delayed by provider settlement, bank processing, review, holds, failed payout attempts, missing information, or other payout restrictions.
Payment provider accounts may be configured for manual provider payouts even where your dashboard schedule is daily or weekly, so Tixi Ticket can enforce event-level payout eligibility, cancellation blocks, holds, currency grouping, offsets, and these terms before funds are released.
Events and payouts are handled in their event currency. If eligible events use different currencies, payouts may be created and settled separately per currency.
Payout status labels in the dashboard, including pending, available, blocked, held, processing, paid, and failed, are operational records of Tixi Ticket's payout workflow and do not override these terms, provider rules, accounting records, tax obligations, refund obligations, or legal requirements.
Payouts may be delayed, blocked, held, offset, cancelled, or fail because of payment settlement timing, bank processing, provider review, missing information, unverifiable information, suspicious activity, sanctions checks, event risk, refund exposure, chargebacks, cancellations, technical issues, legal obligations, or provider limits.
You must promptly repay Tixi Ticket for any refunds, chargebacks, dispute amounts, provider fees, negative balances, taxes, fines, penalties, or losses connected with your events that exceed amounts then held or payable to you.
Refunds, cancellations, postponements, and disputes
You are responsible for establishing, publishing, and complying with your event refund and cancellation policy, subject to mandatory consumer law (including Book VI of the Belgian Code of Economic Law where it applies to your sales), payment network rules, provider requirements, and these terms.
Refunds through the platform may be issued only before the event start time, unless Tixi Ticket determines that a refund or other remedy is required by mandatory law, payment network rules, provider requirements, fraud prevention, chargeback handling, or platform risk controls.
Organisation admins may approve full or partial refunds through the dashboard before the event start time. Ordinary refund requests are at your discretion unless mandatory law, your published policy, Tixi Ticket's written confirmation, payment network rules, provider requirements, or platform risk controls require otherwise.
A full refund voids the remaining tickets, seats, tables, VIP areas, or other admission items in the order. A partial refund voids only the selected admission items and may leave the rest of the order valid.
Refunds return the refundable ticket subtotal for the affected tickets. Platform service fees and payment processing costs are not refunded unless mandatory law requires otherwise or Tixi Ticket expressly agrees in writing.
If you cancel an event, you authorise Tixi Ticket to refund the refundable ticket subtotal for affected tickets and to void affected tickets through the platform. You must not represent that platform service fees or payment processing costs will be refunded unless Tixi Ticket has expressly confirmed that in writing or mandatory law requires it.
If an event is cancelled, not delivered, materially changed, unlawful, unsafe, fraudulent, or otherwise gives rise to buyer remedies, Tixi Ticket may process a full event refund covering all affected paid orders or tickets for that event, whether in a single operation or in batches. You authorise Tixi Ticket and its providers to create the required refunds, void the affected tickets, release or disable inventory, reverse transfers, retain platform fees as permitted by law and provider rules, and deduct, reserve, offset, or recover the resulting amounts from amounts payable to you.
If you postpone, reschedule, relocate, materially change, misdescribe, oversell, fail to deliver, or make an event unsafe or unlawful, you must cooperate with Tixi Ticket to provide refunds or other buyer remedies where required by mandatory law, payment network rules, provider requirements, or platform risk controls.
You must promptly notify buyers and Tixi Ticket of cancellations, postponements, relocations, material event changes, entry restrictions, safety issues, or any circumstance likely to affect buyers' rights or attendance.
You authorise Tixi Ticket to process full or partial refunds, void tickets, release inventory, respond to payment disputes, deduct or reserve funds, and take other reasonable steps where required by law, required by provider rules, requested by you, necessary because of event risk, or appropriate to protect buyers, attendees, Tixi Ticket, or the payment ecosystem.
If an event is cancelled, materially changed, misdescribed, unsafe, unlawful, oversold, or not delivered, you remain responsible for all buyer remedies, refunds, chargebacks, support obligations, regulatory issues, and related costs, except to the extent caused solely by Tixi Ticket's breach.
You must not retaliate against buyers for lawful refund requests, consumer complaints, chargebacks, or regulatory complaints. You must cooperate with Tixi Ticket in resolving disputes and providing evidence where reasonably requested.
Event operations and legal compliance
You are solely responsible for operating each event, including venue contracts, staffing, security, crowd control, insurance, licences, permits, alcohol rules, age verification, accessibility, health and safety, emergency planning, performer obligations, music rights, local authority requirements, and compliance with all applicable laws.
You must honour valid tickets issued through Tixi Ticket unless there is a lawful, documented, and non-discriminatory reason to refuse admission, such as safety risk, fraud, age restrictions, venue rules, capacity restrictions required by law, or buyer misconduct.
You must handle event-day questions, entry issues, accessibility requests, lost property, complaints, incidents, law-enforcement requests, venue disputes, performer disputes, and attendee communications relating to the event itself.
You are responsible for obtaining and maintaining appropriate insurance for your events, activities, venues, staff, contractors, attendees, and legal obligations. Tixi Ticket does not provide event insurance for you.
Buyer and attendee data
The dashboard may give you and authorised organisation members access to buyer names, buyer emails, buyer phone numbers, attendee details, order details, ticket records, ticket codes, seat or table selections, check-in status, refund status, payment references, and analytics for your events.
You must use buyer and attendee data only for lawful, fair, transparent, and legitimate event-related purposes. You must comply with privacy, data protection, marketing, electronic communications, anti-spam, confidentiality, security, and records laws that apply to your use of that data.
You must not sell buyer or attendee data, enrich it for unrelated purposes, send unrelated marketing without a valid lawful basis, disclose it to unauthorised parties, or use it in a way that conflicts with the Tixi Ticket privacy notice, checkout disclosures, or buyer expectations.
You are responsible for securing exported data, limiting internal access, deleting data when no longer needed unless retention is legally required, responding to requests directed to you, and cooperating with Tixi Ticket on access, deletion, correction, objection, portability, restriction, security, or regulator requests.
Where applicable law requires a data processing agreement, joint-controller arrangement, subprocessor disclosure, or other privacy documentation between you and Tixi Ticket, you must cooperate in implementing the required documentation before using the affected data flow.
Communications with buyers and attendees
You are responsible for communications about event operations, admission rules, changes, cancellations, postponements, refunds, accessibility, safety, and venue requirements.
If you use attendee email tools, exported email addresses, mailto links, CSV exports, copied recipient lists, or external marketing tools, you must ensure that every communication has a lawful basis, accurate sender identity, required unsubscribe mechanism where applicable, and content that is not misleading or unlawful.
Tixi Ticket may send transactional or operational communications relating to orders, tickets, payments, refunds, security, support, and platform administration. You must not interfere with, contradict, or misuse such communications.
Intellectual property and licences
You retain ownership of event content you submit, subject to the rights granted in these terms. You grant Tixi Ticket a worldwide, non-exclusive, royalty-free licence to host, store, reproduce, display, format, adapt for technical purposes, distribute, and otherwise use your event content as necessary to operate, promote, secure, support, and improve the platform and your event pages.
You represent that you have all rights required to submit and use event names, images, logos, descriptions, trademarks, music references, performer names, venue names, and other content on the platform.
You must not copy, modify, reverse engineer, scrape, reproduce, or exploit Tixi Ticket's software, design, branding, documentation, interfaces, data structures, or platform content except as expressly permitted by Tixi Ticket.
Third-party services and provider rules
The platform may depend on providers for hosting, data storage, authentication, organisation management, payment processing, seat maps, inventory operations, bank-account validation, email delivery, analytics, security, and infrastructure.
You must comply with provider rules that apply to your use, including payment processor rules, payment network rules, bank rules, connected-account terms, seat-map provider rules, authentication provider rules, sanctions rules, anti-fraud rules, and technical usage restrictions.
Provider outages, account reviews, identity checks, payment holds, sanctions screening, provider restrictions, technical changes, or service interruptions may affect event publishing, checkout, payments, refunds, tickets, maps, notifications, or payouts. Tixi Ticket is not liable for provider failures outside Tixi Ticket's reasonable control.
Suspension, termination, and survival
Tixi Ticket may suspend, restrict, unpublish, disable checkout for, terminate, or refuse service to any organiser, organisation, account, event, order flow, or payout where Tixi Ticket reasonably believes there is breach of these terms, legal risk, payment risk, safety risk, fraud, abuse, provider requirement, sanctions risk, buyer harm, or harm to Tixi Ticket.
You may stop using Tixi Ticket, but termination does not affect existing orders, buyer rights, event obligations, refunds, chargebacks, disputes, taxes, data obligations, support obligations, payout deductions, negative balances, or amounts owed.
Terms that by their nature should survive termination will survive, including payment obligations, refund obligations, chargeback obligations, tax obligations, data obligations, confidentiality, intellectual property licences, indemnities, liability limits, records, dispute provisions, and enforcement rights.
Indemnity
To the fullest extent permitted by law, you will indemnify, defend, and hold harmless Tixi Ticket, its affiliates, officers, directors, employees, contractors, providers, and agents from and against any claims, demands, investigations, penalties, fines, losses, damages, liabilities, costs, and expenses arising out of or relating to your events, organiser content, event operations, venue issues, buyer communications, attendee data use, taxes, refunds, chargebacks, disputes, breach of these terms, or violation of law or third-party rights.
This indemnity includes reasonable legal fees, provider fees, chargeback fees, refund amounts, regulatory costs, settlement amounts approved by you or reasonably entered into to mitigate risk, and costs of responding to claims or investigations.
You may not settle a claim in a way that imposes obligations on Tixi Ticket, admits fault by Tixi Ticket, or affects Tixi Ticket's rights without Tixi Ticket's prior written consent.
Liability
Nothing in these terms excludes or limits liability that cannot be excluded or limited by law, including liability for fraud, intentional misconduct, or other non-excludable liability.
To the fullest extent permitted by law, Tixi Ticket is not liable for event operations, venue conditions, organiser content, event cancellation, event quality, tax treatment, business interruption, loss of profit, loss of revenue, loss of goodwill, loss of data caused by your breach or systems, indirect loss, consequential loss, provider outages, or claims caused by your breach of these terms.
To the fullest extent permitted by law, Tixi Ticket's aggregate liability to you arising out of or relating to these terms, the platform, or your events is limited to the platform fees actually retained by Tixi Ticket from your organisation for the affected event during the three months preceding the event giving rise to the claim.
The limitations in this section allocate risk between the parties and apply regardless of the legal theory asserted, except where prohibited by mandatory law.
Changes to these terms
Tixi Ticket may update these organiser terms when the platform, checkout, payment flow, payout model, providers, laws, risk controls, or business model change. The date at the top shows when the terms were last updated.
If a change materially affects active paid events, Tixi Ticket will take reasonable steps to notify affected organisers. Continued use of the platform after updated terms become effective constitutes acceptance of the updated terms.
For events already sold before a material change, Tixi Ticket may apply the previous terms to completed orders where required by law or where Tixi Ticket considers it appropriate to avoid unfair retroactive effect.
Governing law and disputes
These terms are governed by the laws of Belgium, without regard to conflict-of-law rules, except where mandatory law requires otherwise.
The courts of Brussels, Belgium, have exclusive jurisdiction over disputes arising out of or relating to these terms, the platform, your events, payouts, refunds, chargebacks, or organiser activity, except where mandatory law requires another forum.
Before starting formal proceedings, each party will make a reasonable good-faith effort to resolve the dispute through written notice and escalation, unless urgent injunctive relief, fraud prevention, provider action, regulatory compliance, or buyer protection requires immediate action.
